Rosewood Baha Mar’s Sales Coordinator will work together with the Sales & Marketing management in coordinating and assisting with all aspects and administrative duties relating to the Sales & Marketing team. The successful candidate will lend support to all Sales & Catering Managers in all administrative efforts by coordinating meetings, assisting with site visits, and with group pre-arrival and arrival. The Sales Coordinator will maintain various revenue and production reports, inspect event venues for proper set up and presentation ensuring that all procedures are completed to the hotel’s standards, assist /coordinate with clients in the absence of Managers.

  • Assist the Director and management of the Catering Department in all aspects of administration
  • Coordinate Key Projects and Initiatives
  • Maintain the schedule and calendar for the Director of Catering
  • Arrange and schedule meetings
  • Maintain weekly reporting of all definite, tentative (inquiries), lost business, etc.
  • Assist with overall operations of events along with the Director of Catering & Events and Event Sales Manager upon request
  • Process all billing and posting from events booked
  • Create final invoices and distribute to clients
  • Respond to all guest issues and complaints
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing

Job Requirements


Experience: A minimum of two years’ experience in Sales/Catering/Conference Services department in a similar capacity. Luxury hotel experience preferred.

Education: Bachelor’s Degree in a related discipline.

General Skills: Must be able to speak, read, and write with fluency in English; fluency in other languages is an asset. Must be able to perform job functions with attention to detail, speed and accuracy; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good judgment; follow directions thoroughly; understand a guest’s service needs; work cohesively with co-workers as part of a team; work with minimal supervision; maintain confidentiality of guest information and pertinent hotel data.

Technical Skills: Ability to enforce hotel’s standards, policies and procedures with internal & external guests; ability to prioritize and organize work assignments; delegate work; ability to motivate and work as part of a cohesive team; ability to be a clear thinker, analyze and resolve problems, exercising good judgment; ability to focus attention of details; ability to communicate security needs of clients; ability to work without direct supervision.
